4. Discord bot Suzu

General

Suzu is a bot for the Discord platform. Admins of a Discord server decide whether to add the bot and which features to enable. The bot only processes data needed for the enabled features. Data is stored on a server operated by netcup GmbH, Emmy-Noether-Straße 10, 76131 Karlsruhe, Germany. The server is located in Nuremberg, Germany. A data processing agreement under Art. 28 GDPR is in place with netcup.

The legal basis is Art. 6(1)(f) GDPR. The legitimate interest is providing the members of a server with the features that server wants. Information you enter yourself (for example your profile or an absence) is processed to provide that feature (Art. 6(1)(b) GDPR).

Your use of Discord itself is governed by the Discord privacy policy.

Data the bot processes

  • Discord IDs: IDs of servers, channels, roles and users as well as display names, where a feature needs them.
  • Server settings: everything admins configure via /setup, including uploaded images.
  • Group search (LFG): The bot reads messages in the LFG channels chosen by admins to detect group searches. The message text is not stored. Only the user ID, detected dungeon and time are stored. These entries are deleted regularly once they are no longer needed for matching.
  • Dungeon subscriptions: which dungeons you subscribed to, until you unsubscribe.
  • Groups (/lfm) and events: creator, participants, notes and times. Groups and events are deleted automatically after a time set by admins.
  • Profiles: the details you enter in your profile (for example class or gear score). Your profile is deleted when you leave the server or delete it yourself via /profile.
  • Absences: period and note. Entries are removed automatically after the period ends.
  • Tickets and applications: creator, handler, answers to questions, reason and times. When a ticket is closed, the transcript of the ticket channel with its messages and authors is saved so the server team can read it later. Closed tickets and their transcripts are deleted automatically after 90 days.
  • Logs: If admins enable this feature, the bot posts joins and leaves as well as edited and deleted messages with their content to a log channel on that server. The bot does not store this content itself. It exists as messages in the Discord channel, managed by the server's admins.
  • Roles, rules and voice channels: for example who received which role via a button or who owns a temporary voice channel, for as long as the feature needs it.

Retention and deletion

Data is deleted as soon as it is no longer needed for its purpose (see above). If the bot is removed from a server, all data of that server including images is deleted after 7 days. If the bot is added back before then, the settings are kept.

Responsibility of server admins

The admins of a server decide which features are active there, especially logs and tickets. Admins should inform their members about the features they use.

5. Your rights

Under the GDPR you have the right to:

  • access the data stored about you (Art. 15 GDPR)
  • rectification of inaccurate data (Art. 16 GDPR)
  • erasure (Art. 17 GDPR) and restriction of processing (Art. 18 GDPR)
  • data portability (Art. 20 GDPR)
  • object to processing based on Art. 6(1)(f) GDPR (Art. 21 GDPR)
  • lodge a complaint with a data protection supervisory authority (Art. 77 GDPR)

To make a request, just send an email to kontakt@suzu.live. Please include your Discord ID so we can find your data.

6. Changes

This policy will be updated when new features are added, for example a Discord login on this website. The version published here applies.
